Your Role and Responsibilities
IBM is seeking highly motivated individuals with comprehensive commercial procurement and client facing or consulting experience to join our team of procurement professionals. Specifically, we are looking for procurement professionals to join IBM’s Global Procurement team in support of IBM Procurement Services business area, servicing IBM’s external clients.

Responsibility Areas:

  • Relevant e-Auction / RFx experience across multiple categories.
  • Apply or propose different types of reverse/forward auctions.
  • Conduct eRFx events to procures basic goods and services, obtains quotation, evaluates response consistent with customer requirements and forwards the summary to the client.
  • RFx/ e-Auction Supplier enquiry support.
  • RFx/ e-Auction evaluation support.
  • Negotiation support and communication on RFx/ e-Auction outcome.
  • Responsible for supporting procurement activities within the region or geography.
  • Works under the guidance of client’s procurement teams, implement supply chain initiatives that provide end-to-end integrated opportunities for efficiency.
  • Responsible for establishing, executing and tracking project plans within specific areas of responsibility.
  • Communicates with supplier and customer counterparts and management.
  • Assists in the development of business strategies to accomplish business unit objectives. May also participate in procurement activities in support of multiple business units. Monitors industry to maintain awareness of current practices.
  • Prepare monthly reports/dashboards on various key metrics relative to accomplishments.
  • Good to strong analytical and communication skills.
  • Must be able to interface at all levels within IBM, Clients and Suppliers by managing relationships effectively.
  • Self-starter with a strong focus on customer service.
  • Proactive and customer-focused approach with a friendly attitude and determination to ensure excellent customer service is delivered.
  • Confident with good influencing skills and ability to demonstrate initiative to priorities and ensure completion of work in an effective and timely manner.
  • Financial Unit requirement due diligence.
  • Supplier risk assessment from Financial Unit.
  • Onboarding of Supplier activities.
  • Tracking Supplier and Business inputs into Vendor onboarding tool.
  • Generating and publishing Supplier performance reports.
  • Managing cadence for deliverables.
  • Contract creation and upload of Vendor into system.
  • Notifying Supplier & Business of upcoming contract deliverables.
  • Generating and publishing Supplier contract health reports.
  • Manage and scheduling obligations like annual BCP reviews.
  • Monitoring risk, compliance against contract obligations.
  • Adhoc reporting activities.
  • Track and manage digitisation of contracts.
  • Maintenance of Meta data Hygiene (Contract expiry, owner change, contact detail, etc).
  • Tracking of Contract Termination/Expiry/Novation.
  • Manage Counterparty (Supplier) Hierarchy, include creation and amendment.
  • Oversee the Vendor risk assessment process for new Vendor onboarding and periodic risk assessment, distribution of due diligence questionnaires to the Vendors and partners, review submitted questionnaires for completeness, ensure risk stakeholders finalize reviews and determine overall residual risk rating.
  • Create and support managing the vendor risk assessment framework for the organization
  • Represent VRM on various internal risk and control committees plus other working groups
  • Conduct risk screenings and analysis assigned to VRM to identify potential concerns as part of the onboarding process for new vendors.
  • Develop and implement procurement strategies that align with the organization’s ESG goals, including reducing carbon emissions, promoting diversity and inclusion, and ensuring ethical sourcing practices.
  • Lead the procurement process from end-to-end, including supplier selection, contract negotiation, and contract management.
  • Work closely with cross-functional teams, including legal, finance, and operations, to ensure that procurement processes are aligned with business and that contract terms are favorable to the organization.
  • Analyze spend data to identify trends, optimize pricing, and drive cost savings. * Develop and maintain a comprehensive database of suppliers, including their ESG performance and compliance with regulatory requirements.
  • Conduct market research and analysis to identify new suppliers and technologies that can help the organization achieve its ESG goals.
  • Collaborate with stakeholders to develop and implement sustainable procurement practices, such as reducing packaging waste, using renewable energy, and promoting sustainable agriculture.
  • Ensure that all procurement processes are compliant with relevant laws, regulations, and industry standards. * Develop and implement a supplier diversity and inclusion program to promote diversity and inclusion in the supply chain.
  • Manage and mitigate risks associated with the procurement process, including supply chain disruptions, supplier insolvency, and reputational risk.
  • Develop and maintain reporting and analytics capabilities to track key performance indicators (KPIs) and measure the success of procurement strategies.
  • Stay up to date with industry trends, best practices, and regulatory changes to continuously improve procurement processes and maintain compliance.

Required Technical and Professional Expertise

  • 5 to 10 years in e-Auction OR e-Sourcing RFx, Vendor Management Risk Assessment, Contract Life Cycle Management.
  • Experience in working with e-procurement technology would be essential.
  • Knowledge of e-Sourcing technology.
  • Proficiency with Excel and PowerPoint.
  • Ability to work in a fast-paced, and results-driven team environment.
  • Ability and capability to handle more transactions.
  • Can develop and implement recommendations, demonstrates initiative, and contributes to problem solving. Direct responsibilities for operational measurements. Carries out variety of complex activities according to plan within broader area of responsibility, analyses problems.
  • Apply analytical skills, numerically astute with strong demonstrated problem-solving abilities.
  • Apply communication skills, able to build and maintain effective and productive relationships with staff, Stakeholders and Suppliers.
  • Apply collaboration/teaming techniques.

  • Degree in Business, Law, Supply Chain Management or another applicable field.
  • Previous experience in a client facing / consultative role.
  • Client Relationship Management: Ability to build rapport with clients and maintain professionalism in communications with all levels of client stakeholders. On-time delivery of high-quality analyses and presentations.
  • Data Analysis: Ability to utilize procurement and financial data to understand spending trends within a business, and to leverage that information to identify procurement insights that result in process efficiencies or cost savings for the client.
  • Strategic Thinking: Understanding of the importance of “big picture” thinking and planning. Ability to apply business acumen to focus on key success factors for the organization.
  • Accuracy and Attention to Detail: Understanding the necessity and value of accuracy and attention to detail; ability to process information with high levels of accuracy.
  • Dealing with Disorder: Knowledge of tactics and ability to function effectively in the face of volatility, uncertainty, complexity, and ambiguity.
  • Microsoft Office: Strong knowledge and proficiency of Microsoft Office suite. Ability to efficiently and accurately analyze procurement data using Microsoft Excel, and to build client-ready presentations using Microsoft PowerPoint.
  • Procurement Knowledge: Knowledge of Procurement methods, technologies and processes.
